What is a workplace reporting channel?

A plain-English definition for UK employers and the HR consultants who advise them.

Informational. Not legal advice. Last updated 2 November 2026.

A workplace reporting channel is a published route for workers to raise concerns, such as misconduct, harassment, or safety issues, without having to go only through their line manager. In software form it usually means a web form, case follow-up, and named handlers. Buying a channel is not the same as becoming “compliant”.

Why do UK employers use a reporting channel?

Workers sometimes will not raise a concern if the only route is the person the concern is about. A separate channel gives an alternative path, a record that something was received, and a way to follow up. Policies and training still matter; the channel is one part of a speak-up arrangement.

What does a workplace reporting channel usually include?

  1. A way to submit a concern (often a web page or QR code).
  2. Named people who can open and handle cases.
  3. A way for the reporter to come back without sharing an email address, if anonymity matters.
  4. Basic case status, deadlines, and an audit trail of staff actions.

What is a workplace reporting channel not?

Not legal advice
Software does not tell you whether a disclosure is protected under PIDA or how to investigate.
Not a compliance certificate
Having a tool does not prove you met duties under the Equality Act preventative duty or other law.
Not always a phone hotline
Some vendors sell managed call centres; others sell self-serve digital channels. They solve different problems.

What should employers with 50–499 people look for?

At this size, buyers usually want something they can set up without a large IT project, clear EU (Frankfurt) data residency, published pricing, and a route that still works when the report is about a senior manager. Enterprise ethics suites built for multi-country programmes can be heavier than a single UK entity needs.

How does Vox fit?

Vox is an annual encrypted workplace reporting channel for UK employers with 50 to 499 people. Workers report without an account, can exclude a named handler before sending, and follow up with a case key. See pricing and documentation.
